1. Subject of participation

True Sports Labs GmbH, Isarwinkel 2a, 81379 Munich, Germany (hereinafter “Hydraid®”), enables the winners selected in the “Lena Schreiber x Hydraid® – PACE RACE” prize draw to take part in the Hydraid® team activation with Lena Schreiber (also referred to as the “Race Day Experience”) at PACE RACE Hamburg on 12 September 2026 at the Heiligengeistfeld in Hamburg.

As part of the Hydraid® team activation, participants receive:

• a starting place at PACE RACE Hamburg,
• a Hydraid® team shirt and
• a Hydraid® Starter Set including bottle.

Travel, accommodation and any other costs associated with getting to the event are not part of the prize and must be borne by the winners themselves.

Participation is personal, non-transferable to other persons and subject to a minimum age of 18.

Joint photo and video content production is part of the Hydraid® team activation. Details on the creation and use of the recordings are set out in Section 7 of these terms of participation.

2. Organiser of PACE RACE and ticket registration

PACE RACE Hamburg is organised by Pace Race GmbH. Hydraid® is not the organiser of PACE RACE. Hydraid® organises the Hydraid® team activation only and handles the booking and registration of the starting places won in the prize draw on behalf of the winners.

For sporting participation in the PACE RACE, the applicable terms and conditions of business and participation of Pace Race GmbH also apply. These are available at https://pace-race.com/agb.

Registration for PACE RACE is carried out via the online registration system Atleta used by Pace Race. Atleta provides the technical platform for this and, according to its own terms, is not itself the organiser of the event.

3. Controller and data protection officer

4. Data collected and purposes of processing

To organise and run the Hydraid® team activation and to book and register the starting place won, Hydraid® collects the following personal data via the registration form provided: first name, surname, date of birth, email address, clothing size, mobile phone number.

4.1 Ticket booking and registration First name, last name, date of birth, email address and clothing size are processed in order to book and register the winners' starting places at the PACE RACE Hamburg and to handle the organisational aspects of their participation. For this purpose, the data required for registration is transmitted to Pace Race GmbH or entered into the registration system Atleta used by Pace Race. In its terms, Atleta lists in particular first and last name, email address, date of birth and telephone number as data that may be processed within the system. Atleta describes itself as a processor in relation to its platform customers. Where necessary for providing and handling the starting place won and the Hydraid® team activation, processing is carried out on the basis of Art. 6(1)(b) GDPR.

4.2 Clothing size The clothing size provided is used to plan and supply the Hydraid® team shirt. It is processed in connection with carrying out the Hydraid® team activation on the basis of Art. 6(1)(b) GDPR.

4.3 Email address The email address is used in particular for ticket registration, the delivery or assignment of the ticket, and for organisational information relating to the Hydraid® team activation. The email address collected as part of this registration will not be used for general newsletter or marketing communications solely on the basis of participation in the Hydraid® team activation.

5. Communication via WhatsApp

For short-notice organisational communication about the Hydraid® team activation, a WhatsApp group will be set up with the participants and the persons responsible for the activation. The group is used in particular to communicate the meeting point, schedule, travel information, short-notice changes and other organisational information. The mobile phone number provided by participants is used for this purpose.

When added to the WhatsApp group, the mobile phone number and – depending on personal WhatsApp settings – other profile information may be visible to other members of the group. As part of this activation, the mobile phone number will not be used for general advertising or marketing communications.

The use of WhatsApp is additionally subject to the service provider's terms and privacy notices. The general Hydraid Privacy Policy already states, with regard to WhatsApp, that in particular phone numbers, profile names and message content may be processed and that data may be transferred to Meta. Participants are added to the WhatsApp group on the basis of separate consent given in the registration form.

6. Recipients and service providers used

Where necessary for running the Hydraid® team activation, personal data may in particular be transferred to or processed by the following recipients or service providers:

• Pace Race GmbH, for registering and managing the race entry,
• Atleta, as the registration system used by Pace Race,
• WhatsApp or Meta, in connection with the use of the WhatsApp group,
• technical service providers for the registration form,
• photo, video and production service providers commissioned by Hydraid®.

Where service providers process personal data on behalf of Hydraid®, this is done in accordance with the applicable data protection regulations.

 

7. Photo and video recordings by Hydraid®

Creating photo and video content is part of the Hydraid® team activation with Lena Schreiber. During the activation, photo and video recordings will be made by Hydraid® or by persons commissioned by Hydraid®. Participants may in particular be recorded individually, within the Hydraid® team and together with Lena Schreiber.

The recordings made during the Hydraid® team activation may be used by Hydraid® for communication about the Hydraid® team activation and PACE RACE Hamburg. This use includes in particular:

• publication on Hydraid® websites,
• organic publication on Hydraid® social media channels, in particular Instagram,
• Reels, Stories and other organic social media formats,
• publication as a social media collab post with Lena Schreiber.

Use of the recordings for paid advertising or paid social is not covered by this provision and requires a separate agreement or consent.

For the purposes stated, the recordings may be selected, shortened, cropped, adapted in format and size, and combined with text, graphics, logos, music and other design elements. Any distorting, discriminatory or otherwise disparaging editing or use is excluded. Use is made without entitlement to any additional remuneration.

This provision does not grant Lena Schreiber any independent rights of use to the recordings. Publication as a collab post takes place as part of a publication for which Hydraid® is responsible.

Consent to the creation and use of the photo and video recordings is given separately and voluntarily in the registration form. Giving consent is not a condition for participating in the Hydraid® team activation. Not giving consent will not result in any disadvantage regarding participation.

Where the processing of the recordings is based on consent, this consent may be withdrawn at any time with effect for the future by contacting True Sports Labs GmbH at info@hydraid.com. The lawfulness of processing carried out before the withdrawal remains unaffected.

Following an effective withdrawal, Hydraid® will not use the recordings concerned for new publications and will remove them from its own digital channels or those controlled by Hydraid®, insofar as legally required and technically and practically possible. Content that has already been shared or saved by third parties or otherwise distributed beyond Hydraid®'s control may not be fully recalled or removed.

8. Photo, video and audio recordings by PACE RACE

Independently of the recordings made by Hydraid®, photo, film and audio recordings may be made at PACE RACE by Pace Race GmbH and by service providers commissioned by it. The creation, processing and use of these recordings are subject to the terms and conditions, terms of participation and privacy terms of Pace Race GmbH or of the respective responsible service providers. The provisions under section 7 apply exclusively to the creation and use of recordings for which Hydraid® is responsible.

9. Storage period

Hydraid® stores personal data only for as long as necessary for the respective processing purpose. Data collected exclusively for organising and running the Hydraid® team activation will be deleted once the event and its organisational handling have been completed, unless statutory retention obligations or other legal bases require further storage. The mobile phone number will no longer be used for WhatsApp communication once organisational communication regarding the Hydraid® team activation has been completed. For published photo and video recordings, the provisions under section 7 also apply.

 

10. Necessity of providing data

Providing your first name, surname, date of birth and email address is required so that Hydraid® can book and register the race entry won and organise participation. Without the details required for ticket registration, the race entry cannot be registered. The clothing size is needed to supply the Hydraid® team shirt. The mobile phone number is collected exclusively for communication within the WhatsApp group.

11. Rights of data subjects

Subject to the statutory requirements, participants have in particular the right to:

• access in accordance with Art. 15 GDPR,
• rectification in accordance with Art. 16 GDPR,
• erasure in accordance with Art. 17 GDPR,
• restriction of processing in accordance with Art. 18 GDPR,
• data portability in accordance with Art. 20 GDPR,
• withdrawal of consent given in accordance with Art. 7(3) GDPR,
• objection to certain processing in accordance with Art. 21 GDPR.

To exercise these rights, participants can contact info@hydraid.com or datenschutz@dataguard.de. These rights are also described in the general Hydraid privacy policy.

Participants also have the right to lodge a complaint with a data protection supervisory authority. The supervisory authority responsible for Hydraid® is: Bavarian State Office for Data Protection Supervision (Bayerisches Landesamt für Datenschutzaufsicht, BayLDA), Promenade 18, 91522 Ansbach, Germany.

Further terms of participation

12. Participation in PACE RACE

Sporting participation in PACE RACE is subject to the terms and conditions and terms of participation of Pace Race GmbH. This applies in particular to participation requirements, health requirements, safety and conduct rules, identity checks, liability and provisions on changes to, postponement or cancellation of the event. Participants are obliged to comply with the requirements and instructions of the organiser, the security staff and the official crew. Hydraid® has no influence over changes to the event schedule, start times or route, or over postponement or cancellation of PACE RACE by the organiser.

13. Hydraid® team kit

As part of the Hydraid® team activation, participants receive a Hydraid® team shirt and a Hydraid® Starter Set including a bottle. Clothing size is requested in advance via the registration form. Hydraid® will endeavour to provide the size stated in each case. There is no entitlement to a particular fit or to an exchange.

14. Changes to the Hydraid® team activation

Hydraid® reserves the right to adjust the schedule of the Hydraid® team activation for objective or organisational reasons, provided this is necessary and does not change the essential nature of the activation. Changes to PACE RACE itself, in particular regarding its schedule, start time, running, postponement or cancellation, are the responsibility of Pace Race GmbH.

15. Final provisions

The law of the Federal Republic of Germany applies, unless mandatory statutory provisions dictate otherwise. Should individual provisions of these terms of participation be or become wholly or partially invalid, the validity of the remaining provisions shall remain unaffected.

16. Liability in connection with the Hydraid® team activation

In connection with the team activation it organises (including the meeting point, handing out team kit and content production), Hydraid® is not liable for damage that is not due to intentional or grossly negligent conduct on the part of Hydraid® or its vicarious agents. For sporting participation in PACE RACE itself, in particular health risks, accidents, and property damage or financial loss in connection with the race, the liability provisions of Pace Race GmbH under its terms and conditions and terms of participation apply exclusively.
